PaymentsHQ is your central hub for managing your payment activity with SportsPay. From your dashboard, you can:

- View and search detailed transaction reports
- Track batch settlements and deposits
- Download your monthly statements
- Review and update your organization's information
- Update your bank account details
- Access additional tools and features available through SportsPay

# Payment/Refund Requests

This is where you are able to send Payment Requests and Refund Requests, and track each of them.

A <span style="color: #007bff;">**Payment Request**</span> is where you are **collecting money** from the Recipient. It allows you to send out a Request via email to a Recipient for a set amount. The Recipient will click on the link embedded in the email, which brings them to a Payment Page where they will then input their credit card information to complete the payment.

A **<span style="color: #007bff;">Refund Request</span>** is where you are **returning/refunding money,** and you are requesting that the Recipient provide the credit card number to which the refund should be sent. The Recipient will receive an email where they will click on the embedded link and be brought to a Payment Page where they will input the credit card that the refund should be applied to. All Refund Requests require that the Recipient correctly enter the Secret Answer (a word/password that is set by you - *refer to Help Page under Send Refund Request for more details*).

Your Requests are organized into three reporting groups:

- **Outstanding:** Requests that have been sent but have yet to be completed by the Recipient. These include requests with a status of Expired and Security.
- **Paid:** Requests that have been successfully completed. They are automatically moved over to the Paid group.
- **Cancelled:** Requests that have been cancelled by you. You must manually select the Cancel button to move a request from Outstanding to Cancelled.

<details id="bkmrk-what-is-the-fee-to-p" style="font-size: 14px !important;"><summary>**Do Payment/Refund Requests expire?**</summary>A Payment Request can be valid for a maximum of 45 days. When creating a new Payment Request, you will be required to set the Expiry Date. If you need to extend a Payment Request, select Modify and choose a new Expiry Date.

A Refund Request is only valid for a maximum of 7 days.

</details><details id="bkmrk-how-do-i-resolve-a-r" style="font-size: 14px !important;"><summary>**How do I resolve a request with a Security status?**</summary>If one of your Refund Requests is showing a status of Security, that means that the Recipient entered in the incorrect Secret Answer at least three times.

Before resolving the request, please ensure that you are sending the Refund Request to the correct e-mail address and that the Recipient knows the Secret Answer.

One confirmed that the Refund Request is being sent to the correct individual, select "Modify &amp; Resend" under Actions, and simply send the Request again. You may want to choose a new Secret Answer or update the Expiry Date.

# Send a Payment Request

A <span style="color: #007bff;">**Payment Request**</span> is where you are **collecting money** from the Recipient. It allows you to send out a Request via email to a Recipient for a set amount. The Recipient will click on the link, be brought to the Payment Page, and they will input their credit card information to complete the payment.

The following fields must be completed for each Request:

**Name of Recipient:** This is the name of the person to whom you are sending the Payment Request. This does not have to match the name on the credit card.

**Email Address:**  This is the email address for the Recipient to whom the Payment Request will be sent.

**Amount:**  The amount of the Payment that the Recipient's credit card will be charged.

**Expiry Date:** This is the date that the Request will expire at 11:59pm EST. For example, if the expiry date is October 16th, the Request can accept a payment up until 11:59pm EST on October 16th. Payment Requests can be active between 1 and 45 days.

Use the drop-down to customize the frequency of reminders. At any time, you can shut off or modify the automatic reminders. You can also track when the next reminder will be sent out by looking at the Request's Overview page.   
  
*(Alternatively, you can manually initiate sending a payment reminder using the Action button on the Payment Request home page.)*

**Do not pass processing fees onto the customer:**  This setting will only appear if you are on a CustomerPay pricing plan. The default is to have the processing fees passed onto the customer, however, you can override this by selecting the box, in which case, you will be responsible for paying the processing fees for that transaction.

If the Payment Request is associated with another transaction, by inputting the same Invoice Number in the Value, you will be "grouping" the transactions together, which is helpful for reporting purposes. The Invoice Field can have a maximum of 20 characters in the Value.

The <span style="color: #007bff;">**Description Field**</span> is intended for detailed information such as a player's name, preferred position, and the like. It can have a maximum of 30 characters in the Value, making it suitable for collecting more detailed information.

You can use both the Invoice Field and Description Field to collect information from the Recipient. To do so, check off the box to include the field and provide a Field Label. You must leave the Value field blank and check the Required box.

# Send a Refund Request

A **<span style="color: #007bff;">Refund Request</span>** is where you are **returning/refunding money,** and you are requesting that the Recipient provide the credit card number to which the refund should be sent. The Recipient will receive an email where they will click on the link and be brought to a Payment Page where they will input the credit card that the refund should be applied to. All Refund Requests require that the Recipient correctly enter the Secret Answer set by you.

The Recipient has 3 chances to correctly input the Secret Answer otherwise, the Request is put in Security status, requiring you to reactivate it.

**Secret Hint:** A hint or clue provided by you to assist the Recipient in providing the correct Secret Answer. It cannot contain any word from the Secret Answer.

# Transaction List

The **Transaction List** tool allows you to generate a filtered list of transactions based on date, card type, and transaction type. It's useful for reconciling batches, finding specific payments, or reviewing all recent activity.

A SALE is its own single transaction type that doesn't split up the Pre-Authorization and Completion.

The **Search** tool helps you find specific transactions quickly using either detailed search fields or general customer info.

- **Reference Number:** Use the full reference number if you have it -- or search using one of the following prefixes to locate transactions processed through specific tools:

Think of a batch as a daily summary of payments. If no transactions occurred that day, there won't be a batch created.

<p class="alert alert-primary callout info">**Note:** Each batch is dated based on the *settlement* time - not the transaction time. For example, the batch dated **April 5th** includes payments made on **April 4th**.</p>

You can view the total amount for a batch in the **Response** column. To see a breakdown of each individual transaction within a batch, click **Detail**.

Deposits are made to your bank account once a week - every **Tuesday** - and should appear in your account by **Wednesday**.

Each deposit includes all batches from the previous week, starting from **Monday** and ending on **Sunday**.

# Account Information

The page is organized into cards. Each card has its own button - **Edit** for details already on your account, or a **Request** button for something you want added - and each one is submitted separately.

<p class="alert alert-primary callout info">Nothing on this page changes instantly. Every edit creates a **request** that our support team reviews and applies. The one exception is your cardholder language setting, which takes effect right away.</p>

**Anyone with a PaymentsHQ login at your organization can start a change.** You do not have to be the authorized signer to fill in a request.

**Most changes need your authorized signer to sign off.** When a request requires a signature, your authorized signer receives an email with a document to sign. They do not need a PaymentsHQ login - the link in the email is enough. Once they sign, our support team verifies and applies the change.

The one exception is a change of authorized signer itself: that document goes to the **incoming** signer, who signs to accept the role.

Here is what each request needs:

Your authorized signer is the person on file who is authorized to approve changes on behalf of your organization. This card shows their full name, email address, telephone number, and date of birth. The date of birth is masked for security.

They sign to accept the appointment as Authorized Signer and Responsible Party, and to take on full responsibility under your agreement. Your outgoing signer does not need to sign anything.

**Why we ask for a date of birth:** it is used to confirm the signer is a real, existing person. No credit check is run, and the information is protected. The new signer must be 18 or older.

Once the new signer has signed, a confirmation email goes to **three** places: the incoming signer, the outgoing signer, and your organization's main email address. Everyone with a reason to know is told the role has changed hands.

<p class="alert alert-primary callout info">If your previous authorized signer has already left the organization, that's fine - you can still make this change yourself. The signature comes from the incoming signer, not the person leaving.</p>

This is the bank account your deposits are sent to and your fees are withdrawn from. For security, only the last few digits of the account number are shown.

Your authorized signer can preview the document you uploaded before signing, and can replace it with a different file if something is wrong or out of date. Whichever document is attached when they sign is the one we process. By signing, they also authorize SportsPay to initiate debits and credits to the account under the Pre-Authorized Debit Agreement / ACH Authorization.

<p class="alert alert-warning callout warning">Deposits and fee withdrawals continue to go to your current account until the change has been processed. Nothing moves the moment you submit.</p>

This card controls what your customers see when they pay you.

Select **English** or **French** to switch. This is the one setting on the page that takes effect immediately; there is no request and no signature.

**Organization Logo** appears on your payment pages, receipts, payment request emails, and PayMe links. Select **"Click here"** or drag and drop your file into the upload box.

- Accepted formats: JPG, PNG, or SVG
- Maximum file size: 2 MB

Logos are reviewed before they go live, usually within **24-48 hours**. The status beside your logo tells you where it stands:

The **Requests** card is where you ask for things that are not already on your account. Each request opens a short form, and once submitted it is sent to your authorized signer for approval before processing.

<p class="alert alert-warning callout warning">Not every request is available to every organization. What you see on this card depends on where your organization is located and how your account is set up. If a request you were expecting isn't on your Account Information page, it isn't available on your account. Contact our support team and we'll let you know what your options are.</p>

CustomerPay lets you pass processing fees to your customers at checkout instead of absorbing them. Select **"How CustomerPay Works?"** for the details, or **"Request CustomerPay"** and then **"Request"** to confirm.

The addendum sets out how the fee works. A few points worth knowing before you sign:

- The fee is paid by the cardholder at checkout and applies consistently to **all online transactions**.
- It does **not** apply to manual transactions - card details typed into PaymentsHQ, or a one-time payment using a saved card. You pay standard fees on those. If you also have a payment terminal, terminal transactions are billed as manual transactions.
- The fee is **not refunded** when a transaction is refunded.
- You handle customer questions, disputes, and complaints about the fee.
- Opting back out later requires a fee amendment.

##### **SportsPay Agreement**

Select **"View"** to open your SportsPay agreement on screen, or use the **Download** button to save a copy.

<p class="alert alert-primary callout info">An authorized user can view reporting, process transactions, and start account change requests. Certain changes - the settlement bank account, pricing model, billing account, and adding another user - still require your authorized signer to sign off. Let us know promptly when someone should no longer have access.</p>

##### **Payment Terminals**

Select **"Terminal models and pricing"** to see what's available and what it costs. To place an order, select **"Request Terminal"**, complete the Terminal Order Form with the number of terminals and your shipping details, then select **"Send for Signature"**.

The minimum order is one terminal. The monthly rental rate, return and replacement terms, and the card types supported are set out in full on the order form your authorized signer reviews and signs - it is worth reading before signing, since terminals are rented rather than purchased. You will be notified when the terminal ships; allow up to **3 business days** after signing.

A green banner appears at the top of the page confirming what happened. The wording depends on the type of request.

Once you submit a request, that card locks. The **Edit** button is replaced by an **Update pending** badge so you can see we have it and cannot send a second request on top of it. The badge clears and the Edit button returns once we have processed the change.

<p class="alert alert-primary callout info">Only the card you submitted locks. If you have a banking change in progress, you can still update your organization details or order a terminal.</p>

##### **The signing email**

If your request needs a signature, your authorized signer receives an email with the subject **"Signature required"** followed by the name of the form. It names the form and the user ID of whoever submitted it, and includes a **"Review and Sign"** button along with a plain-text link.

On the form, the signer reviews the request, ticks the consent boxes, and types their printed name - which serves as their electronic signature. The date fills in automatically.

- The link is valid for **30 days**. After that it expires and a new one has to be issued.
- A link can only be used once. Once the form is submitted, it cannot be reopened.
- The email is available in English and French, following your organization's language setting.

<p class="alert alert-warning callout warning">If you receive a request to sign that you were not expecting, **do not sign it**. Contact us using the number in the email before taking any action.</p>

If it needs a signature, your authorized signer has to sign first, and then our support team applies it.

Organization details are typically applied within 1 business day. Everything else takes up to 2 or 3 business days after signing - see the table at the top of this page for the request you submitted.

</details><details style="border-top: solid 1px; padding-top: 10px; padding-bottom: 10px;"><summary style="font-size: 14px !important;">**Why can't I edit a section - the Edit button is gone**</summary>That section already has a request open. Look for the **Update pending** badge where the Edit button used to be. The section unlocks once we have processed the change.

If you need to correct something you already submitted, contact our support team rather than waiting.

If an option isn't showing, it isn't available on your account. Contact our support team and we'll let you know what your options are.

</details><details style="border-top: solid 1px; padding-top: 10px; padding-bottom: 10px;"><summary style="font-size: 14px !important;">**I'm getting an error on a field and can't submit**</summary>We check a few things before a request is sent: required fields have to be filled in, phone numbers have to be the right length, email addresses have to be valid, and postal or zip codes have to be in the correct format. A new authorized signer also has to be 18 or older.

The error appears on the field itself, and nothing is submitted until it's corrected.

</details><details style="border-top: solid 1px; padding-top: 10px; padding-bottom: 10px;"><summary style="font-size: 14px !important;">**Do I have to be the authorized signer to request a change?**</summary>No. Anyone with a PaymentsHQ login at your organization can fill in a request. </details><details style="border-top: solid 1px; padding-top: 10px; padding-bottom: 10px;"><summary style="font-size: 14px !important;">**I got an email asking me to sign something I wasn't expecting**</summary>The email names the form and the user ID of whoever submitted the request, so you can check whether it came from someone at your organization.

If you still were not expecting it, do not sign. Contact us using the number in the email.

</details><details style="border-top: solid 1px; padding-top: 10px; padding-bottom: 10px;"><summary style="font-size: 14px !important;">**Our authorized signer has left the organization**</summary>Use **Edit** on the Authorized Signer card to name their replacement. The document goes to the incoming signer, so you do not need to track down the person who left.

Do this as soon as you can - other requests are emailed to whoever is listed as your authorized signer, so they will sit unsigned until the card is up to date.

</details><details style="border-top: solid 1px; padding-top: 10px; padding-bottom: 10px;"><summary style="font-size: 14px !important;">**Why can't I see everyone who has a login?**</summary>The Account Information page does not list your PaymentsHQ users. You will also find a list of your Recent Manual Transactions. These transactions are also included in your Transaction Reports.

<p class="alert alert-warning callout warning">**Manual Transactions are not integrated into your registration system.** That means that any transactions or refunds done through here will not be shown in your registration system. You will need to manually update your registration system.  
  
Use the **INVOICE** and **DESCRIPTION** fields to keep track of what each transaction is for. The **INVOICE** field is shown on the receipt, but the description is not.</p>

# Virtual Terminal

To process a manual transaction, the following fields are required:

- **Customer Name**
- **Customer Email address**
- **Credit Card Number**
- **Expiration Date**
- **Amount**

You have the option of inputting the following fields:

- **Invoice Number:** This field will be displayed on the customer's receipt
- **Description:** This field is only displayed in PaymentsHQ and is useful for administrative purposes. For example, you can use it to describe what the manual transaction is for - "Johnny Smith's late fee"

Your organization will receive an email notification for each manual transaction processed. You also have the option to send an email receipt to the customer by checking the applicable box.

# Creating a PayMe

<p class="alert alert-primary callout info">Fields available to create your PayMe will differ depending on which template you choose (SignUp, Fundraiser or Custom).</p>

**Title of PayMe:** A unique name given to the PayMe, and should be descriptive of what the PayMe is for. You cannot reuse PayMe names.

**Amount:**  The amount of the payment. You may leave it blank to have the customer input the amount, although this is more applicable for fundraising PayMe's.

**Max # of Payments:**  Set the maximum number of approved payments allowed under the PayMe. For unlimited payments, leave it blank. Please note that only approved and completed payments count towards the running total, and any declined payments do not count. Similarly, any payments that you refund will update the running total.

**Start Date:** This is the date and time that PayMe will open. If you wish to start PayMe immediately, simply leave it blank. Please note that all times are in Eastern Standard Time (EST).

**Expiry Date:** This is the date that the PayMe will expire, close, and no longer accept payments. If you wish to leave the PayMe open indefinitely, leave it blank. Alternatively, leave it blank and set the "Max Number of Payments" if you wish to only close it once it's full. Please note that all times are in Eastern Standard Time (EST).

Both the **Division/Program Field** and the **Player's Name Field** are optional and are designed to give you flexibility. You may use the fields as you choose.

The Division/Program Field and Player's Name Field each have two fields within them: **Field Label** and **Value**

- The **Field Label refers to the Label attached to the field and is used to either (a) describe the information in the Value field, or (b) provide instruction for what should be inputted in the Value field (if you choose to use the field to collect information from the Recipient).
- The **Value** field refers to the information within that field and can be used to either (a) display information, or (b) collect information from the Recipient. To collect information from the Recipient, simply leave the field blank when you are completing the PayMe form.

The <span style="color: #007bff;">**Division/Program Field**</span> is intended for Division, Program, Class Names, and the like. By inputting the same Value in the field, you will be "grouping" the transactions together, which helps reporting purposes (i.e., you can search "Midgets 24 Fall" in reporting and it will list all payments with that value listed in the Division/Program Field. The Division/Program Field can have a maximum of 20 characters in the Value.

The <span style="color: #007bff;">**Player's Name Field**</span> is intended to collect detailed information such as the player's name, preferred position, and the like. It can have a maximum of 30 characters in the Value, making it suitable for collecting more detailed information.

Below is an example of using both fields to display information:

# Account Information - Copy

**Anyone with a PaymentsHQ login at your organization can start a change.** You do not have to be the authorized signer to fill in a request.

**Most changes need your authorized signer to sign off.** When a request requires a signature, your authorized signer receives an email with a document to sign. They do not need a PaymentsHQ login - the link in the email is enough. Once they sign, our support team verifies and applies the change.

This card holds your organization's name, address, phone number, email address, and main contact person.

Your authorized signer is the person on file who is authorized to approve changes on behalf of your organization. This card shows their full name, email address, telephone number, and date of birth. The date of birth is masked for security.

The form confirms two things: that the change is authorized and that the incoming person takes on full responsibility under your agreement, and that the incoming person accepts the appointment as Authorized Signer and Responsible Party.

**Why we ask for a date of birth:** it is used to confirm the signer is a real, existing person. No credit check is run, and the information is protected. The new signer must be 18 or older.

This is the bank account your deposits are sent to and your fees are withdrawn from. For security, only the last few digits of the account number are shown.

Your authorized signer can preview the document you uploaded before signing, and can replace it with a different file if something is wrong or out of date. Whichever document is attached when they sign is the one we process. By signing, they also authorize SportsPay to initiate debits and credits to the account under the Pre-Authorized Debit Agreement / ACH Authorization.

This card controls what your customers see when they pay you.

Select **English** or **French** to switch. This is the one setting on the page that takes effect immediately; there is no request and no signature.

**Organization Logo** appears on your payment pages, receipts, payment request emails, and PayMe links. Select **"Click here"** or drag and drop your file into the upload box.

- Accepted formats: JPG, PNG, or SVG
- Maximum file size: 2 MB

Logos are reviewed before they go live, usually within **24-48 hours**. The status beside your logo tells you where it stands:

The **Requests** card is where you ask for things that are not already on your account. Each request opens a short form, and once submitted it is sent to your authorized signer for approval before processing.

What you see on this card depends on where your organization is located and how your account is set up. If a request you were expecting isn't on your Account Information page, it isn't available on your account. Contact our support team and we'll let you know what your options are.</p>

CustomerPay lets you pass processing fees to your customers at checkout instead of absorbing them. Select **"How CustomerPay Works?"** for the details, or **"Request CustomerPay"** and then **"Request"** to confirm.

The addendum sets out how the fee works. A few points worth knowing before you sign:

- The fee is paid by the cardholder at checkout and applies consistently to **all online transactions**.
- It does **not** apply to manual transactions - card details typed into PaymentsHQ, or a one-time payment using a saved card. You pay standard fees on those. If you also have a payment terminal, terminal transactions are billed as manual transactions.
- The fee is **not refunded** when a transaction is refunded.
- You handle customer questions, disputes, and complaints about the fee.
- Opting back out later requires a fee amendment.

##### **SportsPay Agreement**

Select **"View"** to open your SportsPay agreement on screen, or use the **Download** button to save a copy.

Select **"Request User"** to add a new person to your account. Enter their full name and email address, then select **"Send for Signature"**.

<p class="alert alert-primary callout info">An authorized user can view reporting, process transactions, and start account change requests. Certain changes - the settlement bank account, pricing model, billing account, and adding another user - still require your authorized signer to sign off. Let us know promptly when someone should no longer have access.</p>

##### **Payment Terminals**

Select **"Terminal models and pricing"** to see what's available and what it costs. To place an order, select **"Request Terminal"**, complete the Terminal Order Form with the number of terminals and your shipping details, then select **"Send for Signature"**.

The minimum order is one terminal. The monthly rental rate, return and replacement terms, and the card types supported are set out in full on the order form your authorized signer reviews and signs - it is worth reading before signing, since terminals are rented rather than purchased. You will be notified when the terminal ships; allow up to **2 business days** after signing.

A green banner appears at the top of the page confirming what happened. The wording depends on the type of request.

For organization details, which do not need a signature:

Once you submit a request, that card locks. The **Edit** button is replaced by an **Update pending** badge so you can see we have it and cannot send a second request on top of it. The badge clears and the Edit button returns once we have processed the change.

<p class="alert alert-primary callout info">Only the card you submitted locks. If you have a banking change in progress, you can still update your organization details or order a terminal.</p>

##### **The signing email**

If your request needs a signature, your authorized signer receives an email with the subject **"Signature required"** followed by the name of the form. It names the form and the user ID of whoever submitted it, and includes a **"Review and Sign"** button along with a plain-text link.

On the form, the signer reviews the request, ticks the consent boxes, and types their printed name - which serves as their electronic signature. The date fills in automatically.

- The link is valid for **30 days**. After that it expires and a new one has to be issued.
- A link can only be used once. Once the form is submitted, it cannot be reopened.
- The email is available in English and French, following your organization's language setting.

<p class="alert alert-warning callout warning">If you receive a request to sign that you were not expecting, **do not sign it**. Contact us using the number in the email before taking any action.</p>

When a change is complete, we send a confirmation. Who receives it depends on the request:

If it needs a signature, your authorized signer has to sign first, and then our support team applies it.

Organization details are typically applied within 24 hours. New users and terminal orders can take up to 2 business days after signing.

</details><details style="border-top: solid 1px; padding-top: 10px; padding-bottom: 10px;"><summary style="font-size: 14px !important;">**Why can't I edit a section - the Edit button is gone**</summary>That section already has a request open. Look for the **Update pending** badge where the Edit button used to be. The section unlocks once we have processed the change.

If you need to correct something you already submitted, contact our support team rather than waiting.

</details><details style="border-top: solid 1px; padding-top: 10px; padding-bottom: 10px;"><summary style="font-size: 14px !important;">**I'm getting an error on a field and can't submit**</summary>We check a few things before a request is sent: required fields have to be filled in, phone numbers have to be the right length, email addresses have to be valid, and postal or zip codes have to be in the correct format. A new authorized signer also has to be 18 or older.

The error appears on the field itself, and nothing is submitted until it's corrected.
